{"id":1782,"date":"2021-12-09T12:00:46","date_gmt":"2021-12-09T11:00:46","guid":{"rendered":"https:\/\/ecochain.com\/blogs\/how-to-collect-primary-ghg-data-from-suppliers\/"},"modified":"2025-03-12T02:51:42","modified_gmt":"2025-03-12T02:51:42","slug":"how-to-collect-primary-ghg-data-from-suppliers","status":"publish","type":"post","link":"https:\/\/ecochain.com\/de\/blog\/how-to-collect-primary-ghg-data-from-suppliers\/","title":{"rendered":"How to Collect Greenhouse Gas (GHG) Data from Suppliers"},"content":{"rendered":"<p><span style=\"font-weight: 400;\">We always talk about <strong>why<\/strong> you should engage your suppliers in your emission reduction efforts. <\/span><span style=\"font-weight: 400;\">But how do you <\/span><b>actually retrieve the primary environmental data<\/b><span style=\"font-weight: 400;\"> you need from them?<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Let\u2019s dive into it.<\/span><\/p>\n<h2><strong>GHG Protocol reporting in the EU\u2019s new CSRD\u00a0<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">The EU\u2019s new Corporate Sustainability Reporting Directive (CSRD) will affect <\/span><b>more than 50.000 large companies<\/b><span style=\"font-weight: 400;\"> in Europe <a href=\"https:\/\/ecochain.com\/blog\/complying-with-the-csrd-frequently-asked-questions\/\" target=\"_blank\" rel=\"noopener\">from 2025 onwards<\/a>. And will- almost certainly- require reporting according to the <\/span><a href=\"https:\/\/ghgprotocol.org\/\"><span style=\"font-weight: 400;\">Greenhouse Gas (GHG) Protocol<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The CSRD highlights the importance of measuring the GHG emissions of a company\u2019s <\/span><span style=\"font-weight: 400;\">complete value chain<\/span><span style=\"font-weight: 400;\"> (upstream + downstream). As this is where up to 80% (!!) of a company\u2019s footprint can lie<\/span><b>. <\/b><\/p>\n<p><span style=\"font-weight: 400;\">These kinds of emissions are also called <\/span><a href=\"https:\/\/ecochain.com\/blog\/scope-1-2-and-3-emissions-overview-to-direct-and-indirect-emissions\/\" target=\"_blank\" rel=\"noopener\"><b>scope 3 emissions<\/b><\/a><span style=\"font-weight: 400;\">, in GHG Protocol terms.\u00a0<\/span><\/p>\n<h3><strong>Scope 3 category: Purchased goods &amp; services<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">To make sure your scope 3 emissions are as accurate and representable as possible. You will also need primary GHG data from your suppliers (upstream).<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The <a href=\"https:\/\/ecochain.com\/blog\/ghg-protocol-reporting\/\" target=\"_blank\" rel=\"noopener\">GHG Protocol<\/a> divides scope 3 emissions into <\/span><a href=\"https:\/\/ghgprotocol.org\/sites\/default\/files\/standards\/Scope3_Calculation_Guidance_0.pdf\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">different categories<\/span><\/a><span style=\"font-weight: 400;\">\u2013 covering various upstream and downstream emissions (e.g. use of products by consumers). Here, primary GHG data from your suppliers falls under <\/span><b>scope 3, category \u2018purchased goods &amp; services\u2019.<\/b><span style=\"font-weight: 400;\"> Which is the scope we cover in this guide. <\/span><\/p>\n<h2><strong>Collecting GHG Data From Your Suppliers: Two Phases<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">As the GHG Protocol describes, the supplier data collection can be divided into two phases. An internal planning phase and an execution phase. A quick summary:<\/span><b><\/b><\/p>\n<p><b>1. Internal planning phase:\u00a0<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Collecting primary data from your suppliers can be\u2026quite a project. It requires a clear strategy and planning. Think of; ranking suppliers, assigning internal responsibilities, and <\/span><b>how<\/b><span style=\"font-weight: 400;\"> to collect the data.\u00a0<\/span><b><\/b><\/p>\n<p><b>2. Execution phase:<\/b><\/p>\n<p><span style=\"font-weight: 400;\">This is where you announce the program to your supply chain and start the data collection process. This means; training your suppliers and monitoring their progress.<\/span><\/p>\n<p><b>Let\u2019s go through these phases step-by-step. <\/b><\/p>\n<figure class=\"wp-block-image size-full\"><img fetchpriority=\"high\" decoding=\"async\" class=\"wp-image-15835\" src=\"https:\/\/ecochain.com\/wp-content\/uploads\/2023\/05\/Guide-to-supplier-engagement-in-sustainability_GHG-Protocol-3.jpg\" sizes=\"(max-width: 708px) 100vw, 708px\" srcset=\"\" alt=\"\" width=\"708\" height=\"558\" \/><\/figure>\n<h2><strong>Phase 1. Internal preparation prior to supplier GHG data collection<\/strong><\/h2>\n<h3><span style=\"font-weight: 400;\">1. Rank suppliers according to <span style=\"text-decoration: underline;\">high impact expectancy<\/span><\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Many companies have a LOT of suppliers. And some of these suppliers play a larger role in your supply chain processes. Either because of the impact-heavy materials used in their products and services, high sales numbers, transport distances, etc.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">These suppliers <\/span><b>form the biggest risk<\/b><span style=\"font-weight: 400;\"> to your environmental footprint and therefore, the <\/span><b>highest potential<\/b><span style=\"font-weight: 400;\"> for emission reduction. Your efforts should ALWAYS be focused on them.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Start with measuring your <\/span><span style=\"font-weight: 400;\">company\u2019s baseline GHG performance<\/span><span style=\"font-weight: 400;\">. This is done through measuring your company footprint\u2013 which also includes 16+ other <a href=\"https:\/\/ecochain.com\/blog\/impact-categories-lca\/\" target=\"_blank\" rel=\"noopener\">environmental impact outcomes<\/a>. Your baseline, will show the initial overview and size of your scope 1, 2, and 3 emissions. Ensuring you don\u2019t base your process on loose assumptions.<\/span> <span style=\"font-weight: 400;\">Collect the following information of these high-impact suppliers:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Supplier name<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Supplier address<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Procurement contact<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Supplier type (e.g., production-related, non-production related)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Commodity or service type<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Annual spend<\/span><\/li>\n<\/ul>\n<h3><strong>2. Identify the internal departments responsible for data collection<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Are you currently already surveying your supply chain through other environmental or social responsibility initiatives? If not, look for the perfect internal departments to do so and assign a program manager\/responsibility.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Usually this is a combination of the <\/span><b>sustainability- and procurement<\/b><span style=\"font-weight: 400;\"> staff. With someone from sustainability as project manager.\u00a0<\/span><\/p>\n<h3><strong>3. Check your supplier list with the procurement staff<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">When the first supplier list is completed, make sure it\u2019s reviewed by your procurement staff. <strong>Are your assumptions correct?\u00a0<\/strong><\/span><\/p>\n<p><span style=\"font-weight: 400;\">Your procurement staff knows <strong>exactly<\/strong> what goes on in your supply chain. So, they play an important role in communicating with suppliers during the data gathering process. Ensure to educate them on the program, its relevance, the data collection framework, and how to explain the program to suppliers.\u00a0<\/span><\/p>\n<h3><strong>4. Analyse shared value opportunities<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Collecting GHG data (or any environmental data) from your suppliers can lead to many business opportunities. Not only <\/span><b>your<\/b><span style=\"font-weight: 400;\"> company could benefit from an improved footprint. Look for ways in which you can create shared value with your suppliers. Develop a method for managing supplier data<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">There are several options available for collecting and managing data:<\/span><\/p>\n<h4><span style=\"font-weight: 400;\">a. Use a (commercial) data collection system:\u00a0<\/span><\/h4>\n<p><span style=\"font-weight: 400;\">If you already use a GHG measurement system- or are searching for one. Make sure your suppliers can use the same tool. This helps:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Collect and keep all the primary data in one place.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Makes supplier data immediately available, eliminating extra work because of chaotic datastream structures.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Ensures you will receive <\/span><b>the same high quality<\/b><span style=\"font-weight: 400;\"> environmental data.\u00a0<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">For example, large companies in our portfolio use Ecochain\u2019s Environmental Intelligence Platform as their footprinting tool <\/span><b>and<\/b><span style=\"font-weight: 400;\"> data collection system for their suppliers. You should collect primary data by using an <\/span><a href=\"https:\/\/ghgprotocol.org\/sites\/default\/files\/standards_supporting\/GHG-Protocol-Reporting-Template.docx\"><span style=\"font-weight: 400;\">existing standardized GHG reporting format.<\/span><\/a><span style=\"font-weight: 400;\"> However, keep in mind that many suppliers themselves don\u2019t have a system in place for GHG measurements. This will most likely slow down your process.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">According to the GHG Protocol, this reporting format should include:\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Description of emission sources and scope<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Boundary details<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Reporting period<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Activity data and GHG emissions in CO2-eq<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Comparability with previous years GHG calculation methodologies<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Details of emission factors and data sources<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Discussion of uncertainties<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Trends evident in data (if applicable)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Progress towards targets (if applicable)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Description of events affecting data (if applicable)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Ratio indicators needed for allocations (Ratio indicators provide information on performance relative to a business type and can facilitate comparisons between similar products and processes over time.)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">And any other relevant information<\/span><\/li>\n<\/ul>\n<p><b>Note:<\/b><span style=\"font-weight: 400;\"> Emissions data from your suppliers can be confidential or exclusive. Make sure to check this with your suppliers (e.g. non-disclosure agreements) and manage your data collection process in a confidential way. Preferably according to ISO 27001.\u00a0<\/span><\/p>\n<h2><strong>Phase 2. Executing GHG data gathering plan with suppliers<\/strong><\/h2>\n<h3><strong>1. Announce the program to the supply chain<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Once your GHG Reporting system is in place and your supplier list set. It\u2019s time to let your suppliers know about it. Start with sending an email explaining:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The program and its relevance;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Consequences for not participating (tone of voice depends on relationship with suppliers of course);<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">How the data will be collected &amp; used (briefly explain the GHG system\/reporting format);<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Available resources that will help with the collection (contact person, training, implementation, proposed measurement system, etc.);<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Data protection details;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The project overview and timeframe;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Plan a kick-off call\/meeting to discuss details, responsibilities, <\/span><a href=\"https:\/\/ecochain.com\/blog\/finding-sustainable-suppliers\/\"><span style=\"font-weight: 400;\">possibilities for business opportunities,<\/span><\/a><span style=\"font-weight: 400;\"> etc.<\/span><\/li>\n<\/ul>\n<h3><strong>2. Provide training on the data collection process<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Having your suppliers use a new GHG measurement system requires training and guidance.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">After both you and your supplier(s) have decided on the main contact person\/person responsible at your supplier. Make sure they receive a<\/span><b> full training<\/b><span style=\"font-weight: 400;\"> and\/or some knowledge sessions on how to use the GHG measurement system.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">How extensive this training needs to be- depends on the GHG knowledge level already present in your supplier\u2019s company. Some companies make the data collection a close collaborative process.\u00a0<\/span><\/p>\n<h3><strong>3. Check-in periodically with suppliers regarding their progress on completing the survey<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">If you and your suppliers work in the same GHG measurement system, this step is less necessary. With a clear project overview, close communication and an automatic data input. Your supplier\u2019s process is always transparent.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you are gathering your suppliers\u2019 GHG data in a standardized GHG reporting format, <\/span><b>check-in is necessary<\/b><span style=\"font-weight: 400;\">. Especially, since your suppliers often have to work with a new GHG measurement tool or consultancy partner.
